Habib Education Consultancy Privacy Policy

This page explains how Habib Education Consultancy (“we”), operated by PT Habib For Smart Technology (Jl. Rancabentang No. 97, Cimahi, Indonesia), collects, uses, and protects the personal data you provide when filling out forms on this website, including the major-finding quiz, the contact form, and the registration/application form.

Data We Collect

Major-finding quiz: full name, email address, WhatsApp number, school of origin, and your answers and interest/field assessment results.

Contact form: full name, email address, phone number, subject, and the content of the message you send.

Registration/application form: personal data (name, date of birth, gender, email, phone/WhatsApp number), home address, parent/guardian data (name, relationship, address, contact), education history and goals (last education level, English certificate, intended study level and method, intended major), referral code (if any), and supporting documents you upload (passport copy, diploma, academic transcript, passport photo, research proposal, and recommendation letters where relevant).

Data from Ambassadors or Partner Schools: if you were referred by one of our Ambassadors or Partner Schools, that partner may forward your basic details (name, WhatsApp number, school, city, and study interest) after confirming that you or your parent/guardian has agreed to this.

What This Data Is Used For

• Quiz data is used to contact you via WhatsApp for a consultation on your assessment results, and is kept as material for discussion with our mentor team.
• Contact form data is used to respond to your question or request.
• Registration form data is used to process your application to the study program and educational institution you are applying to, including sharing relevant documents and information with that institution as part of the application and visa process.
• The referral code and contact details forwarded by a partner are recorded to determine who referred you. Partners do not receive your documents and are not entitled to collect any fees from you.

We do not sell your personal data to other parties for commercial purposes beyond the purposes above.

Third Parties Involved

• Our website server. The registration form is managed directly on this website. Your data and documents are stored privately on our hosting server and can only be accessed by authorised Habib Education team members.
• Google Sheets is where we store quiz data internally.
• JotForm. Registration data submitted before the form was moved to this website is stored on JotForm’s own systems, subject to their own privacy policy.
• Meta (Facebook) Pixel is used to measure the effectiveness of our advertising. See the Cookies section below.
• Destination educational institutions are also involved: for applications you submit through us, relevant data and documents will be shared with the university/institution you are applying to. These institutions are located in Malaysia, so your data may be transferred abroad to the extent necessary for the application and visa process.

Cookies and Tracking

This website stores a referral code in your browser for up to 12 months so that a partner’s recommendation is recorded correctly, and uses Meta Pixel to measure advertising. You can disable or delete cookies in your browser settings.

Consent and Users Under 18

By submitting a form, you consent to the processing of your data in line with this policy. For applicants under 18, we rely on the consent of a parent/guardian. You may withdraw your consent at any time by contacting us.

How Long Data Is Kept

We keep your personal data for as long as necessary for the purposes above, and for no longer than 5 years after our service ends, unless the law requires otherwise. You may also ask for your data to be deleted earlier.

Your Rights

In line with Indonesia’s Personal Data Protection Law (Law No. 27 of 2022), you have the right to request a copy of the personal data we hold about you, to correct inaccurate data, to request that your personal data be deleted from our systems, to withdraw your consent, and to stop being contacted at any time by notifying us directly.

Job Applicant Data

If you apply through the Careers page, we collect your name, email, WhatsApp number, city, profile link (if provided), message, and the CV you upload. This data is used only to assess your application and contact you. Only authorised staff at Habib Education Consultancy can see it, and CVs are kept in a private folder protected from direct access through a web address. Applications that do not proceed are deleted automatically within 12 months after submission. You may ask to view, correct, or delete your data at any time by contacting education@habib-hst.com. We do not sell or share applicant data with others outside the needs of the selection process, in line with Indonesia's Personal Data Protection Law (Law No. 27 of 2022).
